Printer Management in BarTender Cloud
Overview
BarTender Cloud includes a convenient and flexible way for users to manage their production printers.
The Printer Management page provides users with an at-a-glance overview of all of the available printers and easy, customizable categorization features to adapt to existing organizational structures. This includes centralized access to printer configuration and printer permissions settings to control who has access to the printers.
This article will provide a comprehensive guide to the printer management features in BarTender Cloud.

Information
Access the Administration icon in the Navigation menu on the left and then on Printers.
Here you will see a list of all available printers. This view includes filtering options above the printer list and buttons in the top left to view printers by location or by groups. New groups can be created from this space using the Create Printer Group button.
Printer Organization
On the Printer Management page you will find two main ways to organize your printers:
- Starting on the Printers tab, you can view your printers by location or by printer group.
- Toggle between the two views by clicking on either the View by Location or View by Printer Group button.
Printer Location
- The location view is the default view.
- Click the pencil icon to the right of any location to open it in edit view:
- Each printer can only be assigned a single location.
- Locations are contained within a hierarchical Node structure, where each node can contain subnodes.
- The following location parameters can be customized:
- Name
- Description
- Color
- Icon
Printer Groups
Printer Groups are a more flexible organizational paradigm. Printers can be assigned to multiple groups and the latter can be used to categorize printers in whichever way is considered useful to an organization.
Just as with locations, groups can have their parameters customized:
- Name
- Description
- Color
- Icon
Creating a Printer Group
To create a printer group:
- Starting on the Printers tab, click Create Printer Group.
- Enter a name for your Printer Group. You also have the option to add a description, parent group, color and icon. Use the checkboxes and arrows to add printers to your group.
- When you're finished, click Create.
- You can now see your newly created group in the Printers tab by clicking View By Printer Groups.
Printer Details
- Click on any printer in the printer list to access the Printer Details page.
- This page will show the printer name at the top along with its status to the right and its location just below that.
- Under the printer location, a series of tabs allow for access to several printer-specific settings and information views.
Printer Info
The Printer Info tab shows the following information:
- Printer name: user-defined printer name
- Description: optional text providing additional information on the printer
- Location: user-defined printer location
- Icon: user-defined printer icon
This printer information can be edited under the rightmost tab titled Edit.
Printer Queue
The Queue tab allows users to view the printer's queue. Control the printer queue using the buttons Pause Printing and Clear Queue. Click the View Print History button to check the printer's print history.
Printer Permissions
Add individual accounts or groups by clicking the + button at the top of the table and assign permissions by expanding the user/group card using the arrow to the right. Available permissions are:
- Print: permission to print to this printer
- View Print Jobs: permission to view who printed which document and when
- View Printed Items: permission to view label details and preview
- Manage Printer: permission to control printer's print queue
Delete a group/user by clicking the trash icon on the corresponding card.
Printer Settings
Click the Settings tab to access the centralized controls for a printer's default print settings. Administrators can configure the print settings for all users from this interface.
Printer Groups
Select the Groups tab, to view all of the groups that a printer is associated with and to add and remove the printer from individual groups.
