How to Use Spaces in BarTender Cloud
Overview
Spaces are a new organizational feature in BarTender Cloud that allows companies to create separate file storage areas for individual teams to store and organize their files independently of each other.
This article will provide an overview for Spaces. You will see how to create spaces, customize them, set permissions and access individual spaces.

BarTender Cloud file management was designed with Spaces in mind. By default, a $temp space, $system space and Main space are included. Users can also create user-defined spaces.
Managing Spaces
You can manage your user-defined Spaces by navigating to the Spaces view:
- Click on Administration in the left-hand sidebar and select Spaces.
- The Spaces view shows all currently available Spaces for your BarTender instance. This includes user-defined Spaces as well as the default Spaces: Main, $temp and $system
Create a new Space
- You can create new Spaces by clicking the New button in the top left. This opens up a form to configure your Space:
- Fill out the Create New Space form with the following elements:
- Display Name: A unique user-facing name for your Space
- Identifier: A unique string used to identify your Space
- Description: a text to describe the purpose of the Space
- Icon & Icon Color: to visually differentiate the Space
- Availability: Specifies whether the Space is visible to users within the BarTender Cloud interface
- Permissions: Set access permissions for the Space(See step 5.)
- You can set Read, Write and Delete permissions on the right of the Create New Space view
- These can be set for all users globally by checking the boxes under All Users
- They can also be specified per Group/User by clicking the + button on the top right, adding a Group/User and checking the corresponding boxes for that Group/User
- Click on Create Space once you have filled out the information for your Space
Edit existing Space
- To start editing an existing Space, click on the Edit button to the right of the Space:
- You can edit existing Spaces as long as they are marked as visible under the Availability Setting
- If the Space you want to edit does not show the edit button, you can click on the Vertical Ellipsis icon to the right of the Space and select Show Space to make it visible and available for editing.
- Clicking on the Edit button will open up the Edit Space view
- The Edit view looks identical to the Create view and provides the same configuration options.

When managing files in Librarian or printing from Print Console, you can choose the right Space from a dropdown menu in the top left:

When launching the Online Designer or the Template Wizard to create new BarTender documents, you will be prompted to indicate the Space that the newly created document will be saved to:
