You want to limit which label is printed to which printer by user. You already have authentication set up for Librarian in order to limit which user group sees which labels, however users are able to print to whatever printer instead of the desired one.

There is no setting to limit printers by user, so you're unable to control a rampant problem of incorrect printers being used.


BarTender 2016 and 2019, Print Portal, and Librarian

Requires user authentication and network printers.


Currently there is no direct feature to limit printers by user. However there is a workaround in this scenario. To make this work, you will need to have authentication enabled in Print Portal. This will not work with generic IIS user.

What to do:

  1. Enable authentication in Print Portal
  2. For each label file, save the network printer as the printer to use.
  3. In Print Portal administrative setup, disable the feature Printer Selection

When the users select a document in Printer Portal, it will print to the printer set in the label file.

More Information

If users are still able to add their own printers or change configurations, more settings may need to be adjusted.

Disabling client printers and allowing non-administrators to add new configurations may help with this. With this, the printers will need to be installed on the server hosting BarTender itself.
