Librarian + Integration Builder
Hi!
I was curious if someone knew if it's possible to set up an integration where when you check in the most recent revision of a BT document it's then possible to e-mail that template to a specific e-mail address?
It is necessary since it's an external resource that has no other way of accessing the documents they need to print, so each time a document is updated and checked into Librarian I'd like for an e-mail to be sent automatically.
Reduces the amount of things that need to be kept in mind when updating a document if the proceess can be automated.
Obviously the document should only be sent out once when it's updated.
If the document is then updated 6 months from now another e-mail should be sent with the most recent revision at that point.
Hopefully the usecase made some sense!
If anyone has any thoughts on if this is possible feedback would be greatly appreciated!

Could you give them access to BarTender Print Portal that is linked to Librarian so that whenever they print they could only ever use the published label format?
Emailing them out a copy of the label format is potentially prone to issues as that format would no longer be in the Librarian system and so could be edited/changed losing all control of revisions etc

In this instance it's not possible no since the recievers are completely outside of the organization.
I'm primarily looking for a way to automate the delivery of the BT documents upon check-in / update so there is no need of sending out e-mails manually each and every time.

I cannot think of a way to achieve this automatically and so some manual intervention would be needed.
The labels in Librarian are encrypted and are not saved in a folder but in the System Database and so the Integration File trigger or Database triggers would not work. I do not think there is a suitable option in the Librarian workflow you could use. You possibly could create an Action in the label itself to run a specific point in the printing process but this would happen every time that point is reached.
Saying that have you looked at BarTender Cloud as a potential option how to give the receivers access to the labels? It maybe worth speaking directly to Seagull to get some more information and see if this is workable.
