It all depends how you configure your work flow in Librarian and set up the user access levels.

Typically you would could configure it so that workers on the shop floor, for example, are only able to print labels that have been "Published" in Librarian and so they cannot print unapproved or draft labels etc. You could configure it that certain users could print these (for example your QA or IT team) but again that would be down to your settings.

Not thought about it with Librarian and and Integration before but I expect you would need to run the Integration under a specific "user" account and add this "user" to an applicable group in Librarian.

This may help to explain this better

    Just continuing from the above:

A simple Librarian workflow could be

Label Design >>> restricted say to your Marketing team to design the label formats and once complete they sent the label through for approval. This includes editing existing labels as new revisions

Approve Design and Publish >>>>>>> Restricted to say your Quality Control team who review the label design and either reject it (sent back to the Label Design level) or approve it and it is then "Published"

Published Label >>>>>>>> Print only users now have access to print this label or the published revision of the label.

Please note, if Print Portal were deployed (with 2021) only the design users would need to have access to BarTender itself since as well as allowing printing of the labels, the approval process can be brought into Print Portal too which only the configured users have access to.
